General

Where can I find study documents (Study & Examination Regulations, Module Handbooks and similar)?

You can retrieve and view these and other documents under: Study Documents.

 

Where can I find important documents and forms?

All important forms are available on the website of the FHW examination office.

In addition, the Campus Service Center also makes all necessary documents and information available.

Study programme-specific documents can be retrieved and viewed under Study Documents.

 

Who are the most important contact people for me?

The members of staff in your examination office are happy to assist you. Their contact details can be found on the FHW examination office website.

In addition, you are also welcome to contact your subject advisor. The relevant advisors can be found on the course information pages.

Another point of contact is the Campus Service Center. You can find answers to your questions there even when the examination office is closed.

Additional advice and support at OVGU can be obtained from the "Helping Hands".

 

How do I contact my examination office?

The contact details of the staff in the examination office can be found, sorted by subject, on the website of the FHW examination office or in OVGU’s LSF system.

You can also contact members of staff in person, by telephone or by email with your questions. If you would like to call in in person, please make an appointment in the online calendar on the website of the FHW examination office. Other up-to-date information on office hours - for example regarding COVID19-related restrictions - can also be found on the website of the FHW examination office.

 

How can I hand in documents?

You can hand in your documents in person, by post, by email, on site in the FHW examination office mailbox or in the Campus Service Center. Please note that the choice of method of submission may depend on the type of document.

If you would like to call in in person, please make an appointment in the online calendar on the website of the FHW examination office. Other up-to-date information on office hours - for example regarding COVID19-related restrictions - can also be found on the website of the FHW examination office.

 

Which information is required for communication with the examination office?

Please always use your student email address if you wish to contact us by email (firstname.lastname@st.ovgu.de). Please also always state your enrollment number. This request also applies to communication with your lecturers or other central bodies within OVGU.

 

Is there a facility from which I can obtain all the forms, grade confirmations etc. that I need?

The Campus Service Center (Building 1) is a central point of contact for students of all faculties for questions, forms and documents. You can obtain grade confirmations, authenticated certificates or new TANs from here. There is always a contact from the enrollment office there too. More information on the Campus Service Center (CSC) is available from www.servicecenter.ovgu.de.

 

Examinations

Where can I find out when my exams will take place?

The examination schedules of the departments/study programmes can be viewed on the website of the FHW examination office. You will also find information there about registering for exams and the deadlines that must be respected.

 

How can I register for examinations?

In principle, you must use the relevant registration form to register for an examination. This can be found on the website of the FHW examination office. It is only possible to register for written exams online via HISQIS/LSF. After successfully registering you will receive a confirmation from HISQIS to your OVGU email address.

Examination schedules and deadlines for registering for exams can be found on the website of the FHW examination office. Please note possibly differing registration deadlines in other faculties! For examinations for seminars registration is via the lecturer. The relevant information will be provided in class.

 

By which date must I register for my examinations?

The relevant deadlines can be found on the website of the FHW examination office.

 

How do I register for exams in other faculties?

You can also register for exams in other faculties online via HISQIS/LSF. After successfully registering, you will receive a confirmation from HISQIS to your OVGU email address. Please note possibly differing registration deadlines in other faculties! You can also register for optional examinations or non-technical compulsory elective examinations via the FHW examination office.

 

How can I deregister from exams?

Basically, deregistering from exams is done in the same way as registering.

During the registration period for exams, you can both register and deregister. For seminar exams, you can deregister in the FHW examination office by getting in touch with your contact person. In principle, it is possible to deregister from an exam up to one week before the exam date, provided other deregistration rules do not apply.

 

 

Final Thesis

Registering the Final Thesis

How can I register my final thesis?

To register your final thesis, a fully completed "Application to register a final thesis" form, which has been signed by the reviewer(s), must be submitted to the examination office. The application form can be found on the website of the FHW examination office. You are welcome to hand in the application in person to your contact in the examination office. To do so, please make an appointment via the relevant online calendar for your contact person on the FHW examination office website.

Due to the COVID19 pandemic, at the present time it is also possible to send the completed registration application by email or post to your contact person or to post it in the mailbox in the foyer of the FHW examination office.

 

Which conditions must be met for me to register my final thesis?

The requirements that need to be met to allow you to register your final thesis can be found in your Study and Examination Regulations under section IV. “Final Thesis” - “Final thesis registration”. The requirements must be met before registering it. Furthermore, a corresponding application must be made in the examination office. The application form can be found on the website of the FHW examination office.

 

Which forms do I need in order to register my final thesis?

The "Application to register a final thesis" form can be found on the website of the FHW examination office.

Please note that the registration form must be completed in full.

 

Do I need to appear in person in the examination office to register my final thesis?

You are welcome to hand in the application in person to your contact in the examination office. To do so, please make an appointment via the relevant online calendar for your contact person on the website of the FHW examination office.

Due to the COVID19 pandemic, at the present time it is also possible to send the completed registration application by email or post to your contact person or to post it in the mailbox in the foyer of the FHW examination office.

 

Can I submit the application to register my final thesis without the signatures of my reviewers?

If you or your reviewers are not able at present to sign the application to register your final thesis due to the coronavirus pandemic, then a digital signature will also suffice.

 

When can I begin to write my final thesis?

Following your registration to write a final thesis, you will receive a confirmation. This will contain both the start date and the latest submission date for your final thesis.

It is not possible to submit a final thesis without first having registered.

 

Submitting the Final Thesis

How and where can I submit my final thesis?

You can submit your final thesis in person or by post to the FHW examination office, in the Campus Service Center or the security department in Building 09. To hand in the thesis in person to your contact in the FHW examination office, please make an appointment on the website.

Please note: due to the current COVID19 pandemic, the submission of final theses has changed as follows:

Final theses, term papers and other written work that must be submitted by 30.09.2021, may be submitted digitally in pdf form. It is not necessary to submit a printed version. The document contains the signed declaration of originality.

The final thesis must be sent to the examination office as well as to the reviewers in an e-mail (from the student’s OVGU address) or by data storage device (one for each reviewer and the examination office) in one single file. The final thesis may also be sent by mail to the FHW examination office. The day on which the work is received by OVGU (receipt stamp) shall be considered the date of submission.

Outside of the opening hours of the examination office and the Campus Service Center, the final thesis may be handed in to the security department or in the red mailbox in front of Building 09. These will be forwarded to the relevant examination office.

 

How many copies are required?

The number of copies to be submitted can be found in your Study and Examination Regulations under section IV. "Final Thesis".

 

Which deadlines apply to the submission of my final thesis?

Registering the Thesis Defence/Colloquium

Where must I register my defence?

Please register 14 days before the examination date with the relevant form, "Application for Defence / Colloquium", in the FHW examination office. The form can be found on the website of the FHW examination office.

It is not permitted to register via the examiner(s).

 

Which deadlines do I need to take into account?

The defence/colloquium must be registered in the examination office no later than two weeks before the agreed defence date. The completed and signed registration form can be sent by e-mail to your contact person in the FHW examination office.

 

Which documents are needed in order to register my defence/colloquium?

The "Defence/colloquium registration" form is available on the website of the FHW examination office. The completed and signed registration form can be sent by e-mail to your contact person in the FHW examination office.

 

Degree Certificate

How do I obtain my degree certificate?

You can pick up your degree certificate in person, have it collected by a representative, or have it sent to you in the mail.

To pick it up in person, please book an appointment in the online calendar of your contact person via the website of the FHW examination office.

For an authorised representative to collect your certificate, this person must present an original, informal letter of authorisation, a copy of your ID card and their own ID card.

If you wish to have your degree certificate sent to you by mail, please hand in a self-addressed A4 envelope with sufficient postage to the examination office.

 

When will I receive my degree certificate?

You can find details of the issuing deadline for your degree certificate in section IV. “Final Thesis” of your Study and Examination Regulations. As a general rule, this will be within four weeks of passing your final examination.

 

Which documents will I receive with my degree certificate?

In addition to your degree certificate, you will receive a report containing the module grades (corresponds to the appendix to the certificate or transcript of records), the grade of your final thesis and the overall grade. You will also receive a diploma supplement.

 

How do I obtain a certified copy of my degree certificate?

You can have your degree documents certified in the Campus Service Center. The copies are generated there and do not need to be taken with you. Please note that there will be a charge for this service.

How do I get a copy of my degree certificate in English?

You can obtain a copy of your degree certificate in English upon application to the FHW examination office.

 

Transitioning from Bachelor to Master at OVGU

Which deadlines do I need to take into consideration if I wish to transition from a Bachelor’s programme to a Master's programme at OVGU?

For enrollments in Master’s degree programmes at OVGU in the winter semester, all assessments required for the Bachelor’s degree must have been entered in the HISQIS/LSF system by no later than 15.11 so that your Bachelor's degree certificate can be completed in due time for submission for enrollment in the Master’s programme on 15.12.

For enrollments in Master’s programmes at OVGU in the summer semester, all assessments required for the Bachelor’s degree must have been entered in the HISQIS/LSF system by no later than 15.05 so that your Bachelor's degree certificate can be completed in due time for submission for enrollment in the Master’s programme on 15.06.

The first university degree certificate must be submitted by 15.12. for applications for the winter semester and by 15.06. for applications for the summer semester. The certificate of exmatriculation must be submitted immediately after it is issued.

I have not yet received my Bachelor's degree certificate. Can I still apply?

Yes - however, the application must be accompanied by a record of achievements (grade overview with average grade and credit points) that has been confirmed by the examination office. You must then submit an officially certified copy (with original stamp) of your Bachelor’s degree certificate by 15.06. for the summer semester or 15.12. for the winter semester.

Medical Certificate/Examination Deregistration

I am unwell and am unable to take part in an examination. What do I have to do?

Please hand in the original copy of your medical certificate without delay stating your enrollment number, study programme and the examination that you are unable to take to the FHW examination office. This can be done in person or by mail. In advance of this, a copy can be submitted by e-mail, which does not mean, however, that you do not need to hand in the original certificate, too.

Where can I obtain a grade confirmation statement?

A grade confirmation statement can be obtained from the FHW examination office or the Campus Service Center. More information is available under Grade Confirmation Statement.

 

Exmatriculation/Cancelling Enrollment

Which documents are needed for exmatriculation?

To cancel your enrollment you will need the exmatriculation application form and your student identity card.

The exmatriculation application can be obtained from, among other places, the FHW examination office website or the Campus Service Center.

 

Where can I hand in my exmatriculation application form?

The exmatriculation application form can be obtained from, among other places, the FHW examination office website or the Campus Service Center.

The exmatriculation application is a kind of docket on which several signatures are collected, among others from the FHW examination office. All contact persons in the examination office and Mr Daniel Gruß in the Campus Service Center are authorised to sign.

The exmatriculation application is then processed in the Campus Service Center/Student Secretariat. More information can be obtained from the Campus Service Center website under Exmatriculation.

 

 

Leave of Absence/Leave Semester

How and where can I apply to take a semester’s leave?

The application for a leave of absence form can be found on the website of the FHW examination office.

The form must contain a signature from the examination office, which can be obtained from your contact person in the FHW examination office or from Mr Daniel Gruß in the Campus Service Center. A statement concerning the reasons for the leave of absence must be appended to the application.

The application must be submitted in the Campus Service Center (Building 01) and will be processed by the Department of Academic Affairs. Upon application to the FHW examination office, the acquisition of a maximum of 18 credit points may be possible during the leave semester.

 

Which documents do I need to apply for a leave semester?

To apply for a leave of absence, you will need the relevant application form, which can be found on the website of the FHW examination office.

Students with Children

Where can I find information on studying with a child?

You can find a lot of information on the OVGU website under "Students with family". For other questions, the Families Officer of the FHW is available to help.

 

Compensation of Disadvantage

Which documents do I need to apply for a compensation for disadvantage?

To apply for a compensation for disadvantage, you will need a Compensation for Disadvantage application form and a certificate or statement of disadvantage. Suggested wordings for the application and other information plus contact persons can be obtained from the OVGU website or the FHW Inclusion Contact.

To apply for time extensions, please state the specific course, the name of the lecturer and the type of assessment. Time extensions are always granted on a semesterly basis.
